Call for Ukrainian Scholar Short Visits
Faculty and postdoctoral researchers from Ukrainian partner institutions (KSE, KNEU, NaUKMA, UCU and DonNU) are invited to submit proposals for a short visit, up to 5 working days, at a CIVICA university.
The call aims to foster collaborative activities, to further existing links, or to establish new ones. Activities may include, but are not limited to, giving a CIVICA-branded talk, participating in a CIVICA-branded conference, participating in training activities, discussing potential joint research projects, exchanging best practices. The visit should ideally be a combination of a minimum of two activities.
Applicants must arrange their own visits, including finding and reaching out to hosts.
The application deadline is 15 November 2024.
The visits will take place between February and June 2025. Travels not completed within this period are considered forfeited.

Faculty and postdoctoral researchers who have a contract with one of the 5 Ukrainian partner institutions at the time of both the application and the planned activities.

What should the application contain?

- Motivation letter (1 page max.)
- Letter or email from the host institution, confirming the visit and activities (from the professor/faculty member at the host institution, with the CIVICA coordinator in cc)

Please note that candidates can apply to only one host institution. Multiple applications from the same candidate will not be evaluated. Please also note that there is a limited number of visits per hosting institution.
How will the proposals be evaluated?
The sending/home institutions will first be in charge of screening the applications with regard to the eligibility and relevance of the applications. Applications will then be evaluated by the CIVICA host institutions identified in the applications.
Selected applications will be financed in accordance with the home and/or host universities’ financial rules and allocated CIVICA budget.
The academic relevance of the proposed activities should be convincingly laid out, and the duration of the visit should be commensurate with the number of activities proposed. Sending/home or host institutions may request a modification of your travel dates due to logistical or budget constraints prior to approval.
What is financed?
The programme supports the invitation of scholars from Ukrainian partner institutions as lecturers, speakers, trainers or experts. Travel and accommodation costs directly related to the visit can be covered. For 5-day visits, scholars may travel during weekends.
Per diem may be paid at the discretion and in accordance with the rules of the sending/home institution.
Timeline
- 1 October: Call for Short Visits announced.
- 15 November: Application deadline.
- 12 December: Announcement of selected applicants.
- February - June 2025: Visits take place.
